Three common letters
Lease termination
The tenant gives notice within a set period. A Belgian commercial lease runs for nine years, and the tenant can leave at the end of each three-year period. Notice then takes six months, served by registered post or by bailiff. Late notification pushes the exit back by three years.
Formal demand for payment
The letter claims a precise sum and sets a final deadline. Eight to fifteen calendar days from receipt is a common deadline, unless the contract says otherwise. A deadline that is too short can weaken your position. Without a deadline, the letter no longer counts as a formal notice.
Subscription or contract cancellation
This letter ends a telecom, energy or gym subscription. It asks for written confirmation of the cancellation. Check the minimum term and notice period in the contract first. Then keep the confirmation you receive with your copy of the letter.

- The deadline given to the recipient to comply.
- The date of the letter and the reference of the contract or invoice.

A letter demanding payment without a deadline is not a formal notice. Carefully completed sample letters protect you from that gap.
Sending and keeping proof
A well-drafted letter loses its value without proof of sending. For a formal notice or a termination, use registered post. A plain email proves sending, but not receipt. Keep the exported document, the acknowledgement of receipt and earlier exchanges together. In a dispute, those records date each step.
